This role will oversee the administrative running of the HBO International office and provide assistance to key team members.
The HBO International office is a growing, busy office based in the heart of Soho. The office is responsible for the marketing, sales & planning of HBO’s Home Entertainment DVD & Digital releases across the world. HBO requires a computer-proficient, highly organised, proactive & personable individual to ensure that the office runs smoothly. This individual will also aid key team members when assistance is required. The HBO Home Entertainment department shares office space with staff from other HBO departments – International Media Relations and HBO Europe, and there will be limited, ad-hoc support required from time to time.
1- To oversee the administrative duties for the office including:
General finance duties such as raising purchase orders, assisting with queries, managing staff expenses, cheque requisitions & invoices
Management of office stationery supplies & DVD stock ordering
Overseeing courier bookings & HBO’s car service
Responsible for all Facilities queries, including solving issues with office equipment
A variety of office administration tasks (eg arranging business cards, ordering kitchen supplies, assisting with office décor)
2- Assisting key team members with administrative tasks such as:
Support and maintenance of team schedules and reports
Supporting sales team with social calendar and booking events
Local travel bookings
Receipts & expenses management
Meeting room management
3- To be the focal point for all office enquires and to build a good working relationship with internal teams:
To be the point of contact for IT support & the Post Room
To build successful & beneficial relationships with relevant team members in HBO’s New York office
To be the point of contact and representative for building concerns & building committee meetings
To cultivate a positive, inclusive environment in and around the entire office
4- Support the rest of the Home Entertainment team in regular and ad-hoc initiatives including event planning and the sharing of assets and information.
Computer literate. An excellent working knowledge of Outlook, Excel & PowerPoint is essential.
Experience of working in a busy office environment
Experience of working for a large corporation with an international footprint
Excellent organizational and follow-through skills
Superb communication skills, both oral and written
Ability to work well in a collaborative team environment
Ability to work well under time constraints and to meet deadlines
Must be proactive and able to work autonomously
A diplomatic, professional and respectful approach to the workplace
